  • Chat Interactions: When you interact with the Phi AI interface, we collect the text content of your conversation (transcripts) to provide the coaching service. Please do not share sensitive personally identifiable information (PII)—such as your full name, address, social insurance number, or financial details—within the chat. Phi does not require this data to function effectively.

  • Contact Information: If you purchase full access to Phi or sign up for our newsletter, we collect your email address.

B. Information Collected Automatically

  • Usage Data: We may collect information about how you access and use the Service, such as the pages you view, the time spent on pages, and links clicked. We use MailerLite heatmaps to understand user behavior on our site.

  • Device and Connection Information: We collect information about the computer or mobile device you use to access the Service, including IP address, browser type, and operating system.

  • Cookies and Tracking Technologies: We use cookies, pixels, and similar technologies (including Meta Pixel and Google Analytics) to track the activity on our Service and hold certain information. This helps us analyze traffic and improve our marketing efforts.

  • To Provide the Service: Processing your chat inputs via our AI backend to generate coaching responses.

  • To Improve Phi: We manually review chat transcripts to monitor quality, improve the AI's coaching abilities, and inform product positioning. This review is conducted strictly by Phi AI Inc. employees and not by third-party subcontractors.

  • To Process Payments: We use third-party payment processors (Stripe) to handle transactions. We do not store your complete credit card information.

  • To Communicate with You: If you have provided your email, we use it to send you access links, guidance on using Phi, and updates. You can opt-out of these communications at any time, though this may prevent you from receiving product updates.

  • For Analytics: To monitor usage trends and the effectiveness of our marketing campaigns.

4. Data Retention and Human Review

  • 60-Day Retention: We retain conversation transcripts for a period of 60 days to allow for internal review and product improvement. After this period, transcripts are permanently deleted from our systems.

  • Data Rights: You may request to access or permanently delete your personal data at any time. To exercise these rights, please email hello@phiai.me with "Data Request" in the subject line.

  • Human Review: To ensure safety and improve quality, human employees of Phi AI Inc. (including the Founder) read transcripts of conversations. We do not share identifiable transcripts with third parties for review purposes.

5. Sharing Your Information

We do not sell your personal information. We share your information only in the following circumstances:

  • Service Providers: We employ third-party companies to facilitate our Service. These third parties have access to your information only to perform specific tasks on our behalf and are obligated not to disclose or use it for any other purpose. Our key processors include:

    • Voiceflow: To host the chat interface and process the AI logic and store transcripts.

    • Stripe: To process payments.

    • MailerLite: To host our website and manage email communications.

    • Google Analytics and Meta: For web analytics and advertising performance.

  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or a government agency).

6. International Data Transfers

Phi AI Inc. is based in Canada. However, our service providers (such as Voiceflow) may process and store data on servers located outside of Canada, including in the United States. By using the Service, you consent to the transfer of your information to countries outside your country of residence, which may have different data protection rules than your country.

7. Security of Your Data

The security of your data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

8. Children's Privacy

Our Service is not intended for use by individuals under the age of 18 ("Children"). We do not knowingly collect personally identifiable information from anyone under the age of 18. If you are a parent or guardian and you are aware that your Child has provided us with Personal Data, please contact us.
